Step 1: Get QuickBooks Desktop

Install QuickBooks Desktop on your computer if you haven't done so previously.

  1. Launch the desktop version of QuickBooks.

  2. Navigate to File, then choose Close Company. Keep QuickBooks Desktop open as you finish the following stages.

Step 2: Download the Migration Tool And Log Into QuickBooks Online

  1. Use one of the supported browsers to log into the QuickBooks Online account you wish to convert. Enter your Intuit Account login information.

  2. Choose the URL and enter exportqbodatatoqbdt instead of anything that comes after /app/.

app.qbo.intuit.com/app/exportqbodatatoqbdt should be the URL. Next, hit the Enter key. During this process, links to other assistance tasks won't function.

  1. The Export Overview will appear. Review it. If you'd like, you can print it. Click "Get Started."

  2. To download the QuickBooks Desktop migration tool, select Download utility.

  3. After downloading the utility, run it and choose Next to install it.

Step 3: Prepare the File Exportation and Select QBOnline Data For Export

  1. Go back to QuickBooks Online. You should still be on Step 1: Prepare for the export window. Select Continue.

  2. Choose what data you want to export. You can transfer all the data with transactions or just list and balances. Select Continue.

  3. Select Learn about the limitations of converting data for QuickBooks Desktop to learn about migration impacting constraints, and hit the Continue option.

  4. Type out the name and email address to which you want the migration confirmation email sent and select Continue.

  5. Select the Close option to return to your QBO file. Wait for your email confirmation. Depending on the amount of data you migrate, the email may take some time to arrive.

  6. You'll have to return to QuickBooks Online's export screen. To return to the export page, follow the preceding instructions in Step 2 and choose Get Started.

  7. Choose Continue from the Prepare to Export page.

  8. Choose the same selection as before and click Continue on the Choose your data screen.

  9. A notification will state that you already have a file to download on the Exporting from QuickBooks Online page. To continue downloading, select Continue to Download.

  10. Click on Download QBXML file. If QuickBooks asks you to save the file, click Continue and pick a simple location, such as your desktop.

  11. Verify that you are on the No Company Open screen in QuickBooks Desktop.

  12. You'll need to return to the export screen in QuickBooks Online. Repeat the previous steps in Step 2 to return to the export page, and then select Get Started.

  13. On the Prepare to Export page, select Continue. If you have an open company, go to File and choose Close company. View your reports before and after the export for data comparison.

Step 4: Launch the Migration Program for Quickbooks Desktop

  1. Ensure that the No Company Open screen is displayed when using QuickBooks Desktop.

  2. After downloading the QuickBooks Desktop migration tool program in step 2, launch it.

  3. Click Import after entering or navigating to the path of the downloaded QBXML file.

  4. You can give your new QuickBooks Desktop file a name and location.

  5. Search for the Application Certificate for QuickBooks. If QuickBooks Desktop is running in the background, it can be obscured by other screens. Choose the read/modify privileges and if you wish to grant access to personal data. Hit the Continue and Done options on the confirmation screen.

  6. After successfully importing your data, click Done.

Note: The completion process can be time-consuming. It is not necessarily the case that the export has failed, even if it appears to be stuck. The progress bar will move again in a few minutes.

Once more, look for an Application Certificate in QuickBooks Desktop.

  1. To open QuickBooks, click the desktop icon in the Windows Taskbar. There, you will get the Application Certificate.

  2. Click the Yes button at each request on the Application Certificate. On the confirmation page, choose Continue and Done.
